Timesheets Administration

The Timesheets administration page is where timesheet users, projects, work shifts and task types are maintained. Task types and shifts can be marked as 'default'.

Users

Anyone who enters or authorises timesheet details must first be set up as a Timesheets Manager, Project Manager, or Worker. You can also create contractor Workers, who are not linked to an employee in the Pegasus Opera 3 payroll application.

Projects

Projects are used by Workers to post their time against. Projects include a name, notes, an option to make it an 'administrative project', and a status. When timesheets are entered the project's name is displayed for the selected tasks.

After they are created, tasks and Project Managers must be assigned to each project.

  • At least one project must be created by a Project Manager

  • Projects can be created from model projects

  • Each project must have tasks assigned to it

  • Each Worker must be assigned to the relevant tasks to record their time against.

 

Departments

Departments are created in the Pegasus Opera 3 Payroll application. They are then displayed automatically on the Departments page in Pegasus Web Xchange. Timesheets Managers are assigned to departments on the Departments page in Pegasus Web Xchange.

After being assigned to a department, Timesheets Managers can then do the following:

  • Approve timesheets without changing the details

  • Reject timesheets with a explanation note, and return them to the Worker.

 

Task Types

Task types are created by Project Managers or Timesheets Administrators to categorise tasks. A default task type can be selected, which will be chosen automatically when new tasks are added.

For example, for a car leasing company, task types could be 'Customers', 'Workshop' and 'Car preparation'.

 

Shifts

Shifts are needed for Workers to log their time against. Any shift can be marked as the default shift, which will be displayed automatically when timesheets are entered. At least one shift must be created.

 

Audit timesheets

The Audit timesheets page shows the status of each timesheet, and can be filtered according to its status. Timesheets can also be actioned (cancelled, retry or assign department) from this page. You can also view the timesheets queue in Pegasus Web Xchange, and filter them by status (passed, failed, and ready).

 

Timesheet settings

Timesheets settings can be set for the following:

  • Default task types

  • Default shifts

  • The time format for timesheets (hours and minutes, or decimal)

  • If required, rounding time to the nearest:

    • 15 minutes

    • 30 minutes

    • 1 hour.
